The contract templates, clauses, insurance overviews and regulatory notes in this article are for educational and drafting reference. Sweet City Candy is a bulk confectionery distributor and does not provide legal, accounting, tax or insurance advice. Contract enforceability, catering licensing and liability standards vary by state and locality, so have a licensed attorney and a commercial insurance broker in your state review any agreement before you use it.

Schools, camps and some venues require a nut-free candy table, and they may ask you to prove it. As a vendor you can't certify a candy yourself; the proof comes from the manufacturer, through the label on the package and the allergen statement it publishes.

What counts as proof

ProofWhere to get it
The package labelIngredients and any "contains" or "may contain" warnings; keep one bag of each candy
The manufacturer's allergen statementUsually on the brand's website or available from its customer service
A written reply from the manufacturerEmail customer service and ask whether the product and its facility are free of peanuts and tree nuts
Read "may contain" and "made in a facility that also processes" warnings carefully: for a strict nut-free event, those candies are usually out.

Some brands publish detailed allergen information. Smarties Candy Company, for example, publishes allergen information for its candy on its website; always check the current statement before relying on it.

Keep a simple allergen folder

  1. One page per candy: product name, a photo of the label, and the manufacturer's statement or email, with the date.
  2. Re-check each season: recipes and factories change.
  3. Bring the folder to the event, along with one unopened bag of each candy.
  4. Label every jar with the candy name and its allergens.

More on venue paperwork is in Candy Buffet Certificate of Insurance (COI), and on dietary tables in Gluten-Free Wedding Candy Buffets.
