The contract templates, clauses, insurance overviews and regulatory notes in this article are for educational and drafting reference. Sweet City Candy is a bulk confectionery distributor and does not provide legal, accounting, tax or insurance advice. Contract enforceability, catering licensing and liability standards vary by state and locality, so have a licensed attorney and a commercial insurance broker in your state review any agreement before you use it.

At the end of a party, guests sometimes walk off with a jar, a scoop or a sign, usually thinking it's a favor. Over a season, missing equipment adds up. A written policy, a quick count, and a few habits at the table protect your display without spoiling anyone's night.

Put it in the contract

  • Equipment stays yours: jars, lids, scoops, risers, signs and linens remain your property.
  • Replacement fee: list a price per item (jar, lid, scoop, sign) for anything missing or broken.
  • Who's responsible: the client, for items taken or broken by guests.
  • How it's charged: from the security deposit or the card on file, with a photo of the count.

Sample wording is in our candy buffet contract template, and deposit terms in Candy Buffet Deposits.

Habits that prevent losses

  1. Count in and count out. Write the number of jars, lids and scoops on your packing list and check it at teardown.
  2. Label equipment discreetly with your business name.
  3. Make the favors obvious: a sign that says "Please take a bag of candy" next to clear favor bags tells guests what's theirs to take.
  4. Start teardown on time, before the last guests are leaving with arms full. See Late-Night Teardown Clauses.
  5. Staff the table at large events, at least for the last hour.
